Stylish Storage With an Oak Sideboard

The design of eighteenth and nineteenth century houses usually did not include much space for storage. Because of that furniture makers were called upon to solve the problem of where to keep things when they were not being used everyday. The dining room generally had one of those solutions in the form of the oak sideboard. The sideboard of most northeastern homes was made of oak due to its plenteous supply throughout the woodlands from Maine to Pennsylvania.

The sideboard would be the place where food would be placed before the meal. The hostess would serve each item of the menu from the sideboard. The dining table would only hold the plates, cups, and other eating utensils along with the centerpiece only. At the end of the meal the sideboard would be the staging area for any desserts and cordials.

Once the dishes were washed and dried, the oak sideboard would also be the storage place between meals. The structure of the sideboard was generally five to six-feet in length by eighteen inches deep by thirty-eight to forty-one inches tall. The height was configured to the waist height of the hostess, for the top of the sideboard had to coincide with her ability to carry platters of food to and from the furniture piece.

The sideboard had cabinets in the main trunk of the piece with at least one and generally two drawers. The top had to be completely flat without any interruption of its surface as it was the main staging area for serving.

The oak sideboard today is a highly sought after piece of furniture. It is still used as a convenient storage cabinet, but it is now found in several other rooms of the house other than the dining room. Some sideboards are being used as decorative furniture pieces in living rooms and even in the foyer of larger houses. Bedrooms are converting sideboards into dressing tables and the location of the bedroom TV set. The modern office now also features a sideboard as a convenient and handsome credenza to augment lack of storage not found in the desk.

An antique oak sideboard is quite a find. Good construction of the nineteenth century sideboard has permitted the opportunity of collecting these excellent pieces of furniture. They are now found from coast-to-coast among thousands of antique dealers.

Furniture makers are still making the oak sideboard. It is a popular selling piece among many of the great furniture houses in our country. Some factories are now specializing in reproduction furniture and can provide you with style choices from early American, Victorian, and European designs.

I bet you don't realize how spread out it is. It's on your desk. It's on your credenza. It's on your bookshelf.

It's the newspapers in your briefcase. It's the magazines on your floor. It's the books on your nightstand.

It's in your email. It's on the Internet. It's in your mailbox.

Do you realize how much you want to read? Do you realize how little time you have to actually read it?

Ah, you've given in to a common temptation... the temptation to read everything that crosses your path that looks interesting. You're surrounded by mailings and magazines, books and newspapers, newsletters, Internet news... and there seems to be no way out!

Well, it's true that the information river will not stop flowing, but there IS a way out of the river. In order to avoid getting swept away, you need to either read like mad or let it go and start fresh. Do a combination of these and you may get through it all, depending on how much you have to read.

Here are 5 things you can do to FREE yourself from your reading pile
and still get what you want and what you need:

1.) Rule #1: Make sure that by the end of every week you have no reading left. I know... shocking. And yes, even the monthly publications when they show up. Are you afraid of having no reading pile at all? Would that feel too... empty?

Don't worry. That place where you keep your reading pile won't be bare for long... More is coming your way.

2.) Topics of Interest: Think seriously about the most important topics you need to know in order to do your job. Add to that what you want to learn that would bring value to your business and value to your customers and clients. Write these down or type them up in a list. What's your focus?

Your list may have 3, 5 or 7 broad topics on it, but whatever the number make sure these are "must reads" on some level. Knowing up front what you're looking for can help you immensely. It helps you to say "no" to reading that doesn't meet your needs or is just a distraction.

3.) Time: Think seriously about how much time you can actually devote to reading each day or each week. If you really want to read these things, you must MAKE time to read. Plan time into your schedule daily or weekly. Will it be with morning coffee? After lunch? Over the weekend?

You must set aside time. Plan it and protect it. Otherwise you will give it away or other people will take it and before you know it, the week has passed you by and you haven't read a thing.

And don't kid yourself about how much time you have in a day or what you'd rather be doing if presented with a choice. Other activities are always competing with your reading pile. It could be something great at work that you'd rather be doing. It could be something fun at home that you'd rather be doing. If your reading is really at the bottom of your list, why hold on to so much? Toss it now!

4.) Topics vs. Time: Now look at your list from #2 above and consider the time you've set aside in #3. Do you speed read? Can you get the reading finished in the time you've set aside to read? If not, then shorten your list or set aside more time.

Another option is to assign certain types of reading to staff members, if you have staff to which you can delegate reading. Not only could they benefit from the reading, but they can summarize it for you on a regular basis.

5.) Just Say No! Be careful about saying "yes" to reading because it looks interesting, even though it doesn't fall into your list of "must reads." You'll lose a lot of time and get easily sidetracked if you allow yourself to get off course in the limited time you have.

If you have topics on your list that are secondary to the 'must reads' just keep in mind that you'll only have time for the "maybe" reads if you can keep up with the "must reads." Let's do first things first.

If you never seem to get to the "maybes" then they're the first to get tossed. However, if you always want flex time for interesting reading that you didn't anticipate, then you must factor this in when you're making your list in #2 and setting aside time in #3.

What inspired you to write?
I've always loved writing. I was one of those odd kids who even enjoyed writing reports or outlining chapters. Mysteries and historical novels have always been some of my favorites. When I was younger, I wrote Scooby Doo type mysteries and a bit of poetry. My first completed manuscript was mainstream women's fiction and based loosely upon the lives of my two sisters and me. Right now, I am focusing on writing for children. I want to write books my kids will want to read.

Do you consider yourself a born writer?
A born writer like Stephen King, Mark Twain, or William Shakespeare? No. I write because I have to; I wouldn't feel complete without my writing. I still struggle with certain aspects of the craft, so I am constantly working to improve those areas.

Have you ever suffered from writer's block? If yes, how did you 'cure' it?
I don't, but I think that's because my time is so limited I can't afford to waste it. The other reason is that my ideas brew for quite a long time before they make their way onto my PC.

The few times the words didn't come as easily as I would like, I critiqued another writer's work or went for a walk.

Have you had any training to become a writer?
When I decided to embark upon a career in writing, I enrolled in the Breaking into Print program offered by Long Ridge Writers Group. I graduated in December 2005 and soon began working for online magazines to create time management and organization articles.

For fiction writing, the majority is self-taught, using tons of practice, writing workshops, and reading books on the craft.

What type of books do you mostly write?
Right now, my focus is on the children's market. My first book, Little Shepherd, is a picture book. I am getting ready to submit my next picture book idea to a publisher that expressed interest in it. I also have a middle grade historical in the works.

Do your children inspire any of books, characters, or plots?
My children inspire much of what I do. There's a series of picture book ideas I came up with based upon the antics of one of my daughters. I shaped some of those ideas in November during Picture Book Idea Month (PiBoIdMo). I hope to work on them in 2011.

Can you share with us a little about your current book?
Little Shepherd is the story of Obed, a young shepherd in the hills outside Bethlehem on the night of Christ's birth. He witnesses the angel's announcement, but is hesitant to follow the others to see the newborn King and leave his flock unattended. Obed soon realizes that it is a night of miracles.

What type of book promotion works for you? Any special strategies you'd like to share?
Since I work as an online book publicist, most of my efforts to promote Little Shepherd have focused on online sales. I held a book signing and was interviewed by the local paper, but the majority of my sales came from online retailers.

I blogged almost every day during my two-and-a-half month virtual book tour with Pump Up Your Book! That certainly made a difference. While websites are great-and necessary-blogs allow you to have ongoing conversations with your readers.

What is the most difficult part of writing?
Other than finding ideas for children's books, I've always struggled with showing versus telling. It takes me many tries to get it right. Luckily, I love editing. Feedback from my critique groups is very helpful too.

Do you find it hard to balance your personal writing time with your other job(s)?
Even as organized as I am, I find I over commit sometimes and feel overwhelmed. My job with Pump Up Your Book! doesn't leave a lot of writing time, so I have to take advantage of whatever time I can find during the week.

My schedule is such that I work from 8 AM to 3 PM most days of the week, and then a tiny bit on the weekends. I am most productive after the girls go to bed, so I put in a few hours then too.

Do you have any other works in progress? Can you share a little about them?
I am currently working on a middle grade historical. I would like to finish the first draft by the end of March. It is the story of a girl named Amelia, who is sent to live with her spinster aunt after the death of her parents. Amelia's impulsive behavior is at odds with her aunt's desire to bring her up as a girl in proper society. In addition, Amelia's friendship with the Negro stable hand who works on her aunt's estate is not liked or understood by many.

Tell us about your writing space?
Once our son moved out, I gained an office. It's our old nursery, so there are still cloud decals stuck to the walls; but I love the Outer Banks, so I worked the clouds into a nautical theme. I have a writing desk, two filing cabinets, a bookshelf, and a credenza. My husband was kind enough to buy me a large flat screen monitor for Christmas, which allowed me to move my laptop off my desk to create more space.

The world of children's book publishing is extremely competitive, with many authors hesitating between trying their luck with a traditional publisher or self publishing. What advice would you offer writers who are oscillating between these two publishing venues?
This is tough. I've considered both, but wanted to try getting traditionally published first. The major challenge I see with self-publishing is that it still comes with a stigma that your book isn't "good enough" to get picked up by a traditional publisher. That's not always true. I've read many phenomenal self-published books.

I think you need to consider if you have the time, money, and talents needed to bring a book through the self-publishing process.

Do you do first drafts on a computer or by hand?
Back in the old days, when I wasn't trying to write for publication, I wrote by hand. Sometimes I still do. For the most part, however, I've trained myself to write on my laptop. I've also learned to do all my editing on the PC instead of printing the book out and using a red pen.

How do you see the future of book publishing, both traditional, electronic, and print on demand?
I hope I'm wrong, but I see eBooks becoming more the norm for Generation X and beyond. Some school districts are already using eReaders instead of having kids carry around backpacks filled with heavy textbooks. I'm afraid that might mean the end to some smaller independent book stores, which would be a shame. I've found many wonderful books at those places.

What is your creative process like? What happens before sitting down to write?
It takes me a long time to get ready to write. Ideas usually stew with me for a year or more. Not a way to be very productive, but as a character driven reader, I feel I need to get to know my characters and their motivations well before sitting down to tell their stories. I interview them, brainstorm with other writers, and perform my research before I type the first word.

What voice do you find most to your liking: first person or third person?
I actually enjoy first person, but find it very hard to do. Usually my stories are told from the point of view of my main character in a third person voice. The more books I read that use first person, however, the more I know I will give it a shot at some point.

What well-known writers do you admire most?
I admire Stephen King, Jerry Jenkins, Laura Ingalls Wilder, and Lucy Maud Montgomery. King probably sounds out of place in that list, but The Stand remains my favorite book of all time. While I'm not a huge fan of the horror genre, the way King gets inside his characters' heads makes me want to read his work.

Do you participate in competitions? Have you received any awards?
Not very often. I did a couple of times, and what I found discouraging is that you don't receive feedback. I realize it would be impossible for judges to provide feedback, but how can I know what to work on without some idea of why the piece didn't win?

What discipline do you impose on yourself regarding schedules, goals, etc.?
I set quarterly goals and I write a to-do list every week. Without my to-do list, I feel that I lack focus, even when I know what needs to be done.

What do you surround yourself with in your work area in order to help your concentrate?
Not much. I need perfect silence in order to work, so usually it's just me, my writing desk, and the computer. Too much clutter can be distracting, so I try to keep my office clean and only have on my desk things that relate to my current project.

What do you recommend I do with all those things I wrote years ago but have never been able to bring myself to show anyone?
Read them and see if now is the time to polish them and send them out. I have a folder of stories I wrote when I was a teenager. Some of them are very dark, as I wrote them after the death of my mother. That doesn't mean there isn't something in there worth using. There's even one Scooby-Doo type mystery that I bet I could turn into a neat middle grade story.

Is there anything else you would like to share with us?
Writing isn't the easiest gig, but it is very rewarding. During my virtual book tour for Little Shepherd, one of the reviewers said her child loved the book so much she carried it to church with her. What could be better than hearing something like that?

    Not too comfortable is it honey?

    If you spend all your time being REACTIVE to competition then guess what?

    You're not being proactive. Not innovative. Not staying true to your course. Not being a leader .

    Like I said - " You're all "NOT-TED" Up!"

    Unfortunately when your customer sees you doing this - they think you are more interested in being a copycat than an original. Meow.

    Here's A Little Quiz To See If Your Competitors KNOT You Up:

    1. You have that "sinking feeling" when you are at the same networking function.

    2. You have a head-ache when you see their booth at a tradeshow.

    3. You feel nauseated when you see them in the media.

    4. You check out their website obsessively.

    5. You are over-sensitive when their name gets mentioned.

    6. You bad-mouth them to your customers. (this is really BAD by the way!!)

    7. You drop your prices to get their customer's business.

    If the butterflies went off in your stomach for ANY of the above points - then girl - your nylons are knotted up!

    And you're wasting your time, energy and brain power worrying about what you can't control.

    Hey - here's a thought!

    You know something your competition doesn't have?

    YOU.

    You and your customers have a relationship that can't be copied by a competitor.

    It isn't about dropping your rates. Or choking on your toast when you see your competitor in the paper.

    Here's Some Bossy Sales Diva Advice:

    Look for the grain of truth that bugs you.

    Are they doing something MUCH BETTER than you? Doing something you may not even have thought of?

    Well - don't copy their idea (that's just cheesy) - copy the innovative thinking instead.

    Instead of getting all knotted up - get FIRED UP and ask yourself " What could I do to improve my products and services that would make me UNIQUE?"

    It's a tough question that may require pots of coffee while you're thinking. But it is a heck of much better way to spend your time - thinking about YOUR BUSINESS and YOUR CUSTOMERS.

    Wood File Cabinets - How To Select The Right One

    File cabinets come in many sizes, styles and levels of quality. In addition to offering a way to organize and access your documents, file cabinets can also become flexible and useful pieces of furniture that can be used in almost any room of your home or office.

    You can buy either metal or wood cabinets file. Wood, specifically solid oak, is the most attractive and durable material to look for. It will last a very long time and be an attractive addition to your home or office.

    The many styles of solid wood file cabinets include Mission, Contemporary, and Traditional and come in several standard sizes, which include:
    Letter sized file cabinets, which generally hold only 8.5" x 11" paper, but can also be used for 8.5" x 11" legal size files. Legal size file cabinets, which generally hold both 8.5" x 14" and 8.5" x 11" paper. Lateral file cabinets, which come with 2 or 3 drawers and generally hold 8.5 x 11" and 8.5" x 14" paper. Personal file cabinets that are generally smaller and hold only 8.5 x 11" letter files

    The letter or legal size file cabinet can be used the alternate way by moving the metal brackets.

    Wood file cabinets are available with 2, 3, 4 or even 5 drawers. When deciding which one would work best for you, consider not only the amount of file storage needed, but also the other uses you have for the file cabinet as a piece of furniture. It could be used as an end table, a storage chest, a credenza, a DVD or video tape cabinet, a nightstand, or a place to keep your printer, fax machine, copier, or coffee machine.

    If you want to place some of the above items desk height, a 2-drawer cabinet allows you a 30" high platform. If you line several up in a row you can have quite a large surface. A lateral file also offers you this advantage without a seam in the middle. For this purpose, look for file cabinets with flush sides so there won't be any gaps between the cabinets.

    A 3-drawer file cabinet, which stands about 43" high, offers more storage per square foot of floor space and you can still put plants or other light items on top. A 4-drawer file cabinet, which is about 55" tall, offers a tremendous amount of storage, as does an even taller, but rare, 5-drawer file cabinet. We don't recommend putting anything other than a very light item on top.

    SAFETY FIRST!

    Any piece of furniture that is holding a lot of weight can be dangerous. An important safety issue with file cabinets is the danger of tipping and crushing. Large and heavy file drawers can cause the file to tip forward. Therefore, several things can be done to minimize this danger.
    Do not fill the file on the top drawer while leaving lower drawers empty. As mentioned above, do not open more than one drawer at a time. Attach file cabinets to the wall to prevent tipping. Where possible, put your heaviest items in bottom drawer (to act as an anchor). Do not put attractive nuisances like TV's and games on top of tip prone furniture unless it is properly tethered. Children may climb up to retrieve the remote or turn on the TV with horrible consequences.

    CHOOSE A HIGH-QUALITY WOOD FILE CABINET

    The lowest quality wood file cabinets are generally made for self-assembly by the customer. This is usually more difficult than you expect and utilizes "cam" assembly hardware. You'll also want to stay away from file cabinets that are made of particleboard. Even though the tag might say it's made of wood, don't be fooled because that description might still be referring to particleboard, so beware. According to the Furniture Manufacturers Association, solid wood includes particleboard. What you really want to look for is SOLID wood-either solid oak, pine, or cherry.

    Another thing to keep in mind is that in order to hold a lot of weight a file cabinet should have glue screws and clamps--not cam locks in particleboard.

    Next, know the difference between printed grain, genuine wood veneer, and solid wood without particleboard. The easiest way to tell if a piece of furniture is made of solid wood is to look at how the grain is running. If the end grain runs the wrong direction (perpendicular to the other grain), it is most likely veneer. I'm not saying veneer doesn't have its place if properly done, however, you should not be misled and be able to purchase what you are looking for/know what you're looking at.

    Wood drawers are best made with English Dovetailed joints. If a drawer is assembled with cams, it won't hold together. A drawer glued and stapled can be an acceptable assembly method if the staples are only holding the assembly together until the glue dries.

    Another important element of a file cabinet is the hardware used to open the drawers. Check the runner system. Make sure it pulls out smoothly and evenly? How does the tracking system work? If the drawer pulls out less than 90%, you will loose storage space and it will be difficult to retrieve your documents from the back of the file. Euro type roller glides are unacceptable for any file cabinets. This type of roller system works with two interlocking wheels on a spindle and it can't take the heavy weight of a file drawer and will likely not last very long at all. The better glide system for file cabinets is a full ball bearing--full extension slide system with at least a 100 lb weight rating.

    Also, consider whether or not you want to lock up your drawers. You can put a lock on each individual drawer. This is the easiest way to lock up any particular drawer from which you want to keep prying eyes. You can also lock up all the doors by using a key just on the top drawer and the mechanism will lock all the doors below. Interlocking systems on quality wood files can be a costly and sometimes can hang-up creating access problems.

    The wise consumer will take all these pointers into consideration when selecting a wood file cabinet. If you stick to solid wood and good glides and stay away from self-assembly, you'll have good access to your files and your cabinet will last a very long time.

    The Seven Keys to Mastering a Facilities Management Department

    Facilities Management is one of the most important roles in any company where property is owned or leased to house the company's employees, systems and business transactions with its customers. Next to human capital, it is a company's most valuable asset. Unfortunately, as a cost center, it is often not given the notoriety of its profit center counter parts, and in many instances, is often thought of by others as a simple job. Yet, ask any non-facilities professional who has been given the responsibility to over see a facilities department, and they will tell you of the importance and value a strong facilities manager means to the organization. Now in Facilities Management, one can never expect to be able to predict everything that they may encounter, and different organizations give different responsibilities to their FM's, but if one were to master theses seven core aspects of the occupation, the manager in charge of facilities will control 90% of the challenges of his or her responsibilities, and more importantly, get kudos of recognition at the C-Level!

    Key # 1: Be the CEO of You, Inc.

    As evolved as our industry has become, many FM's still don't get to rub shoulders with the other managers within the corporate structure. Yes, you might have the same title as other department heads, but the status still has its "less than elite" appearance in the eyes of others. But, that should not deter one from being the best they can be. The only person you will want to impress is your direct superiors, because if you make their job easier, you will be rewarded. Especially, as in most cases, if you report to a CFO or other senior level, non-facilities professional who happened to draw the short straw at last year's session of the "senior responsibility shuffle game" that occurs in many organizations. The pride in being an FM is that your talents are portable, because whether you work in retail, financial institutions, warehouse or commercial office space, the problems are similar. Being the CEO of You, Inc. will allow you to excel and if a change in employers is ever necessary, your talents, contacts, resources and accomplishments will get you to the next level, if your current situation begins to flat line. Always remember, your job is to allow your employer to concentrate on the company's primary purpose it has to its customers. You only get calls when something is wrong, so after mastering this important key, being the CEO of You, Inc., mastering the next six steps will tackle most issues and keep the complaint calls and emails to a minimum! These steps represent what your fellow employees utilize every day, and they need to be in top shape at all times. As you read on, you'll soon see there is a pattern to my process. I do this so that the steps to master are done in a logical order that represents a non-facilities employee's trek from the time they arrive at work, to the time they get to their desk. It is in this 5-10 minute time span that most complaints are made. Make this trek a comfortable one, and you will win over the most discriminate co-worker!

    Key # 2: The parking lot.

    Whether your fellow employees drive to work, or take public transportation, if you are in control of a parking facility, you must make this lot as clean and safe as possible. Make sure it is paved, seal coated and properly striped on an annual basis. Assure that any damage is repaired quickly, and in colder climates when there is snow and ice, always have an excellent removal system so when the morning bell blows, your lot is clean and free of any snow, ice, dirt, trash or any other unsightly or unsafe condition. And, to add to the safety factor, always assure your lot is well lit from sundown to sun up. This is the first thing your fellow employees use when they start their day, and the last thing they use when they end their day. Make sure the parking lot is in excellent condition.

    Key # 3: The landscaping.

    If you have any grass, shrubs, trees or foliage of any kind, make sure it is in a state of pleasant, trimmed, weed free condition. Everyone wants to be able to say they work in a pleasant environment. What better way to show the people who work in your building, as well as the public who don't, that you care. A well groomed and manicured landscape always puts people in a happier frame of mind. Mix in some seasonal color throughout the year, and your building will be the jewel of the neighborhood!

    Key # 4: The janitorial service.

    Nobody wants a dirty work environment. Just as we noted already that a clean appearance in the parking lot and landscape beautifies the exterior, once the employee walks into the building, you must maintain that quality and standard of excellence. Moreover, the office these days is where most employees spend the majority of their time. It is "home" for 8-10 hours, if not more, each day! Glass should be clean; floors should be well polished; carpet should be cleaned and vacuumed regularly; trash emptied; and the grand daddy of them all: a clean rest room! With all the time we spend at the office, we don't want to be "grossed out" when we use the men's' and ladies rooms! Safety, beauty and comfort allow the employees to feel valued, and keep the complaints to a minimum!

    Key # 5: Lighting.

    OK-We are halfway there! We have made the arrival safe and pleasant, and we took care of everyone's personal needs that we can in the most comfortable way possible. Now its time for your fellow employee to do the work of the corporation without any physical discomfort. This is where we make sure the lights are always operating, and the quality of color, glare, and illumination are in tact. Always assure burned out lights are replaced before anyone complains. Sounds difficult, but it really is not. A good daily maintenance walk through, or lighting service provider will always get the lights on before too many burned out becomes a nuisance or eventually a project. If the lights are on and are designed to have a comfort level where the end user is not straining due to overly bright, or too dim illumination, you have once again conquered one of the biggest concerns. Poor lighting leads to less productivity, illness and fatigue. I definitely recommend a lighting consultant to assist here as they can recommend, energy efficient systems that incorporate the best color and brightness to handle any work environment.

    Key # 6: HVAC

    While temperature is the biggest complaint I have gotten over the years, a well balanced, even temperature environment can squelch the majority of problems. You will always get one or two people, who are extreme when it comes to their personal temperature likings, but following standards of temperature ranges, usually allows for the majority of employees to feel comfortable in all seasons. If temperatures are set at consistent numbers throughout, and air is properly balanced, employees will not experience hot and cold spots as they move about your building. During regular business hours, keep thermostats set between 72-75 in warm weather (AC), and 68-71 in cold weather (Heat). And whenever possible-lock out your thermostat to prevent tampering! If there is a period during off hours and weekends when no one is occupying the building, by all means have appropriate summer and winter setbacks to conserve energy.

    Key # 7: Furniture systems.

    Ergonomics has been for several years, and continues to be, a major effort to assure comfort at the work station. The furniture you choose can prevent a lot of the aches and pains many end users feel if they are not currently using comfortable furniture. Chairs with lumbar support, height adjustments, tilt back features all contribute to less body fatigue for the end user, and rid the FM of complaints which can result in the FM experiencing a lot of headaches! The same holds true for desks, credenzas, shelves, case goods, cubical systems, etc. All aspects of the office should be designed with comfort, both visually, as well as to support the personal comfort of the end user. With that, the equipment and systems should also support the office function. While I am a big fan of interior design, some times beauty is all that is specified in a furniture project, and comfort and function are forgotten. Your best partner is a knowledgeable furniture company who can offer a wide variety of colors, features and certified ergonomic products to handle all aspects of a long lasting furniture plan. Always make sure you choose a vendor who can supply you with free trials of different brands, fashions and comfort feature options for you to "test drive" with the end user prior to you making that large purchase commitment. In the long run, you will become well informed, and the end user will appreciate being part of the selection process!

    Conclusion:

    Now I know there are so many aspects of facilities management that are not covered here. But, after years of serving my fellow employees, these seven aspects of tailoring a facility plan conquer the most complained about aspects of facilities management. From the time the employee enters the grounds, to the time they settle in to their work station, these seven keys, when administered properly, will cut down on an overwhelming majority of common problems that will allow YOU to concentrate on special projects, and other facilities related requirements. Concentration on tasks that you need to devote more of your time, effort and collaboration to, sometimes with other departments, and hopefully, the C-level decision makers who will see your value to the corporation they never realized until now!

    Everyone Hates Filing - Yet - Everyone Wants An Organized Office - Right?

    True, I'm not typical because I really don't hate filing. In fact when it makes my searches shorter and easier, I actually like it. So will you once you get organized and start your home or business office the right way. The right way helps most of us not get lost in the paperwork shuffle when it comes time to find that important document that we know we saved. Some simple tips on storing, setting-up, sharing, and maintaining your new filling system can make the job easy rather than dreaded.

    First, you should determine where you will store your files. Will they be in an easily accessible desk or credenza drawer? If you do not have drawers available, should you use a file box on a shelf or a movable file cart? If there are a lot of files, are they better suited to a file cabinet? If using a file cabinet, should the files be located in your office for quick access or stored somewhere else? Once you make this decision and have the storage location set-up, you will move to developing the file system.

    Set-up

    When setting up a filing system, keep it simple so you and others will not dread maintenance. Use hanging files or selected drawers for main categories. Then place folders in the hanging file or drawer for sub-categories. When developing a file system, determine how many major categories you will need for the files. For most file systems, this can be limited to major categories between six and ten. Then create sub-categories within the major categories, if necessary. File main or major categories in order used most to least using hanging files with marked tabs. Make subcategories within the major filing be alphabetical, date, or numerical to make searching for folders easier. For example, filing financial data makes more sense by date, since you file taxes by year and pay bills by month. Filing customer information would be alphabetical by client name. File research and periodical clippings by subject category instead of by source name for quick retrieval. Whichever filing system you use, always file the newest documents in the front of the folder since you typically search for the most recent version of information.

    If using a shared filing system, then include a typed information sheet or index card on outside of file location so others can understand the filing system. For those files used by multiple people or that contain multiple folders, create markers for the location of the file when it is removed. These markers may be empty folders labeled "Out". Using a marker makes it easy to see that a folder is missing as well as where to put it back to reduce filing time. If you wish to further secure files and make sure they are returned you may want to also have an in/out log of who took which file and when it was brought back.

    Maintain

    Regular file maintenance includes both regular filing and keeping files compact and up-to-date by planning regular times to purge files of old or no longer relevant data. Try to file a document as soon as you are finished with it. If files are not conveniently located for instant filing, try to file everyday at the same time, whenever possible. If there is not a lot of filing to do, pick a particular day of the week to do all filing. For daily or weekly filing, have a holding place for file items until time for filing. Constant file maintenance includes each time a file folder is open and if it contains multiple sheets, quickly check through it to see if you can toss any outdated materials to thin file. If there is not a document control or configuration management requirement to keep old versions, be sure when you are filing revisions or reports to keep only the latest version.

    Hopefully, these simple tips will make it easier for you to set-up and maintain a controllable filing system. Remember, to keep it simple so everyone that uses the system can quickly and easily find what they need or put away documents. Maybe now you too will find that filing is a simple necessity and not something to dread.
